Complete setup, usage, backup, and operations guide

This guide explains how a company is onboarded, how WhatsApp and Instagram channels are connected, how teams use CRM and automation, and how admins keep data safe with exports and document backups.

1. Company onboarding

Super Admin creates a tenant workspace with company name, slug, plan, admin login, WhatsApp details, and account status.

Plan decides default allowance, visible modules, employee capacity, and upgrade path for Growth or Pro features.

Company Admin receives a separate dashboard from Super Admin so client data stays tenant-safe and isolated.

2. WhatsApp and Instagram setup

WhatsApp Phone Number ID, WABA ID, display number, permanent access token, webhook callback URL, and verify token are configured.

Meta permissions, OAuth redirect URI, app mode, webhook fields, and business verification must match the connected app.

Instagram DM setup uses business account ID, page ID, username, and access token so incoming DMs can enter the same workflow.

3. Team access and permissions

Company Admin creates employee accounts with department, active chat limit, and exact menu permissions.

Employees only see allowed modules like Inbox, Contacts, Leads / CRM, Templates, Bookings, Support, or Notifications.

Sidebar collapse, quick search, mobile bottom navigation, dark theme, and profile avatar make daily work faster.

4. Inbox, contacts, and conversations

Unified Inbox shows WhatsApp and Instagram conversations with unread count, last message, customer identity, and channel state.

Contacts store phone, email, tags, opt-in status, source channel, assigned owner, metadata, and last interaction.

Teams can reply, send templates, send media, track delivery states, delete selected contacts, and keep customer records clean.

5. Leads / CRM and follow-ups

All Leads keeps source, owner, value, status, notes, phone, email, and custom metadata in one workspace.

Pipeline helps move opportunities from new enquiry to proposal, negotiation, won, or lost.

Follow-ups help sales teams act on pending leads with due dates, owner accountability, and next-action notes.

6. Templates, campaigns, and automation

Templates can be created locally, synced from Meta, sent to customers, and used inside campaigns or automation replies.

Campaigns manage audience selection, template language, body variables, schedule, queued/sent/failed metrics, and status.

Automation uses keyword triggers first, then AI-assisted growth tools can qualify, summarize, tag, and suggest next actions.

7. Quotes, ERP, and bookings

Product catalog supports price, category, SKU, unit, HSN/SAC, GST rate, currency, image URL, and product URL.

Quote and invoice workspaces support GST-ready records, PDF generation, internal notes, payment reports, and expense reports.

Bookings support slots, Google Calendar settings, Google Meet links, customer invite flow, and appointment status tracking.

8. Backup, assets, and exports

Assets / Documents provides folder-style storage for PDFs, images, contracts, reports, and operational files.

Safety backup can package contacts, leads, messages, reports, campaigns, templates, products, bookings, team, and support data.

Single-module exports are available as JSON or CSV, while uploaded files can use optional file or folder passwords.

9. Reports, billing, and support

Analytics and reports cover message statuses, daily activity, active contacts, campaigns, usage logs, and risk logs.

Billing tracks plan allowance, estimated overage, tenant status, and admin-level controls for upgrades or suspension.

Support tickets include subject, category, priority, status, description, admin note, assignment, and activity timeline.

Export and backup rules

Data backup: Use Assets / Documents to create one JSON backup containing selected business modules.

Instant export: Download individual areas like Contacts, Leads, Reports, Campaigns, or Templates as JSON or CSV.

File safety: Store documents in folders and use optional passwords for sensitive reports, contracts, and client files.

Document folders

Use folders for client-wise assets, reports, payment screenshots, quote PDFs, contracts, onboarding files, and compliance documents.

Folder cards show locked/open status and file count, while every uploaded asset can be downloaded or deleted by Company Admin.
